Refunds

Refund Request for up to and including 100% of a Credit Card Charge:

  • The Charge must have placed through the same MP as the Refund Request.
  • The Transaction must be in an Approved or Partially Refunded state when the Refund Request is submitted.
  • If a Partial Refund is still Pending, a second Refund Request will be rejected.
  • How that Refund is acted upon is based upon the configuration in the MP (Merchant Profile). 
  • There is no "Void" or "Reversal" command in our system that can be use by merchant, but acquires have it, though you may hear it called as such. If the Refund Request is approved and sent to the Acquiring Bank before their daily "batch" is processed, it may be sent to the Issuing Bank as a Reversal.   Void, in case of Authorized transaction is another term for cancel.
  • Some acquirers may not allow partial refunds, or we could make a decision not to allow them with certain banks

Refund Options:

  • Option A (Always Manual) – Each Refund Request is examined by our Risk Department and Approved before being forwarded to the Acquiring Bank (or Declined). The delay may take up to a few hours. Once it has been submitted to the Acquiring Bank and the result was returned, the merchant will receive Notification. 
  • Option B (Always Auto) – The Refund Request is submitted automatically to the Acquiring Bank and the results returned in the Response as well as the Notification are sent to the merchant.
  • Option C (Mix/Threshold) – Refunds for amount below an establish threshold are processed automatically like in case of Option B and those above the threshold are processed Manually like in case of option A.
  • Option D (Auto/Manual) – Once per week an amount equal to a set percentage of the week’s approved transactions are calculated. As each Refund request is processed, the amount is decremented accordingly. As long as the remaining amount is greater than the reserve balance, the Refund Request is processed automatic. Once the reserve amount is less than the Refund Request amount, the transaction is processed Manual.
  • Option E (Auto/Decline) – Once per week an amount equal to a set percentage of the week’s approved transactions are calculated. As each Refund request is processed, the amount is decremented accordingly. As long as the remaining amount is greater than the reserve balance, the Refund Request is processed automatic. Once the reserve amount is less than the Refund Request amount, the refund request will be Declined.
